DOWNLOAD AND INSTALL KEEPASS Password Safe from keepass.info.Launch the program and choose File, New. Enter a master password that will protect this collection of passwords. The indicator below this field shows the strength of the password entered. For maximum security, tick the box marked 'Use master password and key file'. This ensures the password collection can't be opened on a different computer. Choose C:\pwsafe.key from the dropdown menu (this is the name and location of the encrypted password file) and click OK.


ENTER THE MASTER PASSWORD again to confirm. This is the one password that needs to be remembered, as the program will handle all others. Obviously, you must not forget this master password. Click OK again to gain access. The main window is divided into three panes. The left-hand one displays common groups of passwords, while the right-hand pane shows stored passwords in the selected group. The bottom pane provides details on any selected password. To enter a new password, select the group to create it in and click Edit, then Add entry.

COMPLETE THE DIALOGUE BOX with details of this account. There's a chance to change the group, if necessary. Provide a title for the account. This could be the name of the program that uses this password, the website the password is for or a combination of the place using the password and circumstances under which the account is used. Enter the username for the account, which will have been set up in the program or website, followed by the password. By default, a new one is generated and hidden from view.


To reveal the password, click the button marked with three dots. Either replace the generated password with the existing one for the account or keep the one suggested by Keepass and remember to reset the password for the original account in its program or site. Keepass can't automatically reset passwords in their own programs, so this step has to be done manually. If it's for a website, enter the site URL in the appropriate field and use the Notes section to type any reminders or important information about this account.


It's also possible to use the URL field to specify a program that should use the set username and password combination. Click Tools, URL field: Select Application. Browse to the executable (.exe) file used to launch the program concerned, select it and click Open. It's a good idea to change passwords after a certain period. To trigger a reminder, tick the box marked Expires, then click the button marked with a clock. Select how often the password should be changed from the list that appears.


CLICK OK TO SAVE this entry and repeat the process for each password to be stored in the program. When it comes to using passwords, launch Keepass and enter the master password. Browse to the account required and right-click the entry. Choose Open URL(s) to open the website or program associated with this entry. Right-click it again and choose Copy User Name to Clipboard. Paste this into the site. Return to Keepass, right-click the entry again and choose Copy Password. Paste this into the password field.
