IF you are using fonts that are different from the basic system fonts, and if the end user who is viewing the document does not have them, MS Word automatically provides for their replacement so that the data can be viewed and edited easily. However, MS Word also enables you to not only embed fonts along with the document but also pre-define which font would serve as a replacement, if necessary.

To embed fonts to a document, carry out the following steps:

~ Open the document to be printed.

~ Click the Options' button at the foot of the drop-down list.

~ Click the 'Save' option from the left¬side panel of the dialog box.

~ Check the 'Embed fonts in the file' appearing under the 'Preserve fidelity when sharing this document' section of the dialog box.

~ You can check the 'Embed only the characters used in the document (best for reducing file size)' and the 'Do not embed common system fonts' options to optimize the file size and click 'OK'.

To replace missing fonts to a document, carry out the following steps:

~ Open the document to be printed.

~ Click the 'Office Button' and click the 'Word Options' button at the foot of the drop-down list.

~ Click the 'Advanced' option from the left-side panel of the dialog box.

~ Scroll down the page till you locate the 'Show document content' section of the dialog box.

~ Click the 'Font Substitution' bu.tton. This will display the 'Font Substitution' dialog box.

~ Under 'Missing Document Font', select the missing font and then select a substitute font from the 'Substituted Font' drop-down list.

Make sure that the fqnts you use are supported by your printer. If the fonts aren't supported by the printer, the printer might throw an error and not print the document at all.
