One of the advantages of using Microsoft Office Outlook with Microsoft Exchange server is the calendar sharing function. This public Exchange calendar feature can be used to view schedules of other Exchange users, and others can be set up to view calendar. Here, the process is explained form the view point of Microsoft Office Outlook 2007; though, these steps can be used in other versions of Microsoft Outlook or Microsoft Office Outlook as well.

• Go to Microsoft Office Outlook, and select "Calendar". Click "Share My Calendar", a "Sharing Request that is Calendar" message will be opened. Click "To..." and choose the person to share the calendar with. Make sure that the "Allow recipient to view Calendar" and "Request permission to view recipient's Calendar" boxes are checked.

• Step 2

Select "Send". This sets up the sender to share calendar, and enables the receiver to access the sender's calendar.

• Step 3

Select "Allow" under "Respond" section of email while receiving a mail request for calendar sharing. Select "Yes" when Microsoft Office Outlook prompts to allow calendar sharing.

• Step 4

Select "Open this Calendar" to contact the sender's calendar.

• Step 5

Open Navigation panel, where a new section "People's Calendars" will be there. Click next to the person's name to open another person's public Exchange calendar. Clear the checked box near the person's name to close the other person's calendar.
