You can make database using current personnel data files in minutes if you save personnel data in an exterior software application, like spreadsheet. Microsoft Access will read spreadsheet and load Microsoft Access database that provides relational database management system for reporting and updating.
Instructions
Step 1
Go to "Start," "All Programs," then "Microsoft Access." It starts and display database options.
Step 2
Tick radio button for "Blank Access Database" and press "OK." "File New Database" dialog box will appear.
Step 3
Select name for personnel database and type this in "File Name" sector of "File New Database" dialog box. If you like, you can utilize default database name that Microsoft Access selects for you. Tick "Create" and personnel database will show.
Step 4
Click "File," "Get External Data," then "Import." This shows "Import" dialog box where you can access external personnel data file. Locate external personnel file, click on it and click "Import."
Step 5
Now you will notice "Import Spreadsheet Wizard" and display of external data file. Tick "Next" and click box beside "First Row Contains Column Headings" if spreadsheet has first row with column headings.
Step 6
Click "Next" and "In a New Table" must be checked. Tick "Next" to see Fields that will be in database. Click "Next" again and ensure "Let Access Add Primary Key" is checked. Tick "Next," enter name for Access database personnel file and then click "Finish."
Step 7
You will notice personnel database loaded as table into Microsoft Access database window. Now you can handle this table as any other database table in Access.
